Operations Manager (1 Year FT: Maternity Cover) – DG Cities

London, UK

Salary: £50 to 65k (dependent on experience)

Main Purpose of Job
Accountable to the Managing Director, in this role you will be responsible for planning and monitoring the day-to-day running of DG Cities. During a critical period of growth, you will put in place new systems and processes enabling the company to expand and to deliver on its new obligations and ensure that the company has the appropriate skills and resources needed to deliver against its existing and future commitments and priorities.

You will work closely with DGC’s Programme Manager to monitor the delivery of commercial and funded projects, to ensure high levels of financial stewardship and to track income and expenditure across projects.

Key Tasks
• Develop an annual business plan and take the lead on tracking actions/priorities for the reporting period.
• Convene and administer a monthly Operations Meeting that provides a structured forum for management and operational decisions.
• Identify and bring forward business critical procedures designed to ensure the effective running of the company.
• Undertake continuous review of procedures to ensure that the company’s operations are lean and efficient and that staff have the resources and systems they require.

• Develop mechanisms to monitor, control and improve the performance of company staff. Review and track progress and work to provide solutions when issues arise. 
• Oversee marketing and communications activities, both internally and via external agencies, aimed at raising the profile of the company.
• Develop a quality performance framework and create a culture of excellence and work to enhance the company’s reputation among its stakeholders, customers and clients. 
• Identify and manage risks relating to the company’s projects and operations.

Human Resources
• Work with the Managing Director to ensure that the company has the appropriate skills and resources needed to deliver against its commitments and priorities.
• Directly manage staff as required.
• Ensure that personnel/management issues are satisfactorily resolved and relevant HR policies and procedures are adhered to.

Advice, Information and Communication
• Build and maintain effective relationships with stakeholders and project partners based on trust, effective management and timely delivery.

Business Development
• Identify suitable sources of funding to support the development of new, related initiatives that would complement the company’s work.
• Ensure that the company is well placed to submit bids for additional funding and tenders that support the company’s aim and research interests by ensuring that appropriate resources are allocated to funding proposals.

Financial
• Ensure the appropriate levels of financial stewardship are in place to track income and expenditure across projects.
• Ensure that grant claims and payments are submitted accurately and on time.
• Track income and expenditure across commercial and research projects.

General Duties
● In carrying out the duties of the post, have due regard to the provisions of Health and Safety at Work legislation.
● To undertake ad hoc projects and any other work appropriate to the level and general nature of the post's responsibilities.

Key results/objectives
● Business plan in place and actions and priorities are being tracked and delivered.
● Procedures and systems are in place ensuring the smooth running of the company.
● Project invoices/claims and payments are submitted accurately and on time.
● The company has the appropriate skills and resources needed to deliver against its existing and future commitments and priorities.
● Projects, pilots and initiatives delivered successfully, and wider benefits from smart city innovation secured for cities and service providers, including DG Cities’ clients and stakeholders.
● New funding secured through bids for external funding and commercial activities.
